Prior to Dimension Reports, Sacramento County was unable to reconcile County Medi-Cal claims. We used the EHR system to verify units of service and to pay providers, but were not able to tie back the approved units of service to individual warrants.

We were not able to fully reconcile our 835 & 837 files prior to Dimension Reports. We used an Access Database to view and work the denials before we went to our EHR. Once we started using our current EHR, we had to rely on the EHR to reconcile the files and work the denials. The EHR did not have the ability to fully reconcile, and the denial reasons were not accurately reporting what the 835 file actually said. So prior to Dimension Reports, we were never able to truly reconcile our claims.

We no longer have to reconcile claims. Dimension Reports reconciles everything, all we have to do is follow up on pending claims and distribute the revenue to the correct cost center. We use Dimension Reports to work denials, which has gone from a 40-hour a week job down to about 15-hours per week.

Before Dimension Reports we could never reconcile County units to the State records and always owed the State back at either final cost report and/or audit. Since using Dimension Reports the difference between the County and State records is minor and our audit findings have been minimal.

Yes, we have absolutely recognized a savings in time and money. Not only have we eliminated the staff time it took us to reconcile claims, but we were able to work denials timely and easily. Our denial rate has dropped significantly, and we have collected a great deal of revenue by working denials that we were struggling with working prior to Dimension Reports.

We have seen a huge improvement in accuracy in distributing revenue to the correct budget unit, accuracy of Medi-Cal units for the cost report, and reconciling our EHR with the 837 & 835 files. We have also improved the communication between Fiscal and Program, Fiscal and IT, and Fiscal and QI because of our ability to see what exactly is going on with our claims.

We use Dimension Reports for the Financial Status Report and year-end accruals. Dimension Reports provides accurate up-to-the-day revenue information; we know how much we received, what is still pending and can project from there, what we expect. We are able to look at a quick glance Medi-Cal percentages and denial percentages. With the percentages we are able determine how much MHSA funding we use and make our quarterly transfers.
